Privacy Policy
Effective November 6, 2026
Introduction
This policy explains what information QARAVAN (legal name RUSA LGBTQ Corp.), a nonprofit in New York, collects on qaravan.org, how we use it and who we share it with.
Information we collect
What you give us. When you use the site, you may give us:
- what you type into our forms, such as your name, email, phone number and answers;
- when you sign up for an event: your first and last name, phone number or email, language, the events you sign up for, your status (going, on the waitlist or waiting for approval), how many guests you bring, your answers to the event’s questions, and whether you checked in;
- when you write a comment on an event page: its text, when you wrote or changed it, and your first name with the initial of your last name. The people signed up for that event and the QARAVAN team see it; you can delete your own comment at any time, and the team can delete any comment;
- on an event page with a discussion: what you post there (text, photos and the other kinds of posts), your comments and reactions, your answers and votes, the questions you send its organizers in advance, and any report you send about a person. You also choose how you appear on these pages: how your name shows (in full, your first name, a name you choose, or anonymously), your pronouns, a few words about yourself, your languages, what you can help with, links to your Instagram or Telegram, a photo, a color, and whether you show in guest lists. The event’s guests and organizers see what you post there and your profile. An answer meant only for the organizers goes to them and the QARAVAN team, and if you post anonymously, only they see your name. You can delete your own posts and comments, and the organizers can delete anything on their event’s page;
- if someone from QARAVAN invites you by email to an event or to host one: your email address (and, to host, the first and last name they wrote), who invited you and when. If your email isn’t on the site yet, the invitation to an event makes a profile with it alone. When we invite the guests of earlier events to a new one, we keep which invitation went to whom, by email or text, and when, so nobody gets it twice or more than 2 invitation texts a week. Every invitation email has a link to stop them; if you use it, we keep that choice and when you made it. The link in the invitation works for 14 days; when you accept it, that email joins your profile;
- if you organize an event: we email you the questions its guests send the organizers and, if you choose, text you when one arrives. The team can also add an email address that receives only these questions; each such email has a link to stop them;
- when you save a resource list to your profile: the list itself (its topics, pages and first steps, and what you tick off or take out), never your answers to the finder’s questions;
- when you volunteer with us: your teams and roles, the months you help, the event steps and tasks you take on and when you finish them, your replies and notes on them, the invitations we sent you, and your choices for messages. The QARAVAN team sees all of it. The other volunteers in your team see your name and roles, and your phone number and email only if you choose to share them;
- when you leave the newsletter box ticked or turn the newsletter on: your email, the language you chose, the words next to the box, whether the box was already ticked when the page opened, the page and the time, and whether you later unsubscribed;
- when you agree to texts: the exact wording you agreed to, the page and the time, whether you also agreed to news and whether you opted out; and any text you send to our number.
What we receive automatically. When you send a form or sign in, we receive your IP address. To sign you in, we send a one-time code by text or email.
The resource finder and the scholarship quiz work only in your browser. Your answers there are not sent to us.
How we use information
We use your information to reply to you, to organize events and manage sign-ups, to send the texts described in our SMS Terms, our monthly newsletter while you are subscribed, the emails you ask for, and emails to volunteers about their steps and tasks, to sign you in, and to keep spam and abuse off the site.
How we share information
We don’t sell or rent your information. We share it with these service providers, which store or process it for us:
- Cloudflare hosts the site and our database and checks forms for bots. It receives your IP address.
- Twilio sends our texts and receives yours, with your phone number.
- Google sends our email from info@qaravan.org and hosts that inbox, where texts sent to our number also arrive.
- Mailchimp (Intuit) sends our monthly newsletter and receives your email and the language you chose for it.
- monday.com is where our team works with form answers, text subscriptions and event guest lists.
- Vercel hosts feedback.qaravan.org and receives your answers, with your IP address, from these forms: Peer Support Group, Case support: practical help, Do you need an immigration lawyer?, Community Needs Survey, Volunteer at QARAVAN events, A letter from QARAVAN for your immigration case, and QARAVAN Movie Club.
- GitHub hosts our automated tools, which copy event guest lists into monday.com.
The Candid seal of transparency at the bottom of our pages comes from Candid’s own website, so your browser asks Candid for it, and Candid receives your IP address.
Text messages
We don’t share mobile numbers or text message consent with third parties or affiliates for marketing or promotional purposes. Our SMS Terms cover our texts.
Cookies and tracking
We set one cookie of our own. It keeps you signed in on your browser for up to 90 days, and signing out deletes it. The site does not respond to “Do Not Track” signals.
Analytics
We use Google Analytics to count visits. It uses cookies. We send it the address of the page you open and a few actions, such as switching the language or downloading a file, but never what you type on the site. Google signals and ad personalization are off. How Google uses this data: policies.google.com/technologies/partner-sites.
Google Analytics is the only outside company that collects information on this site about your activity over time.
Seeing and updating your information
On My profile you can change your name, see your sign-ups and cancel one, choose reminders by text, by email or both, turn news texts on or off, turn the monthly newsletter on or off and choose its language, add or take out a phone number or email, delete a saved resource list, and sign out on all your devices. Every newsletter also has a link to unsubscribe. If you volunteer, you also choose there the months you help and whether your team sees your contacts.
Changes to this policy
We may update this policy. When we do, we’ll post the new version here with a new effective date.
